How to TEDx: How to Plan Your Budget

  • 0:02 - 0:04
    How to plan your budget?
  • 0:04 - 0:09
Budgeting is one of the most important
    tasks of a TEDx event.
  • 0:09 - 0:12
Sure, you don't want to lose money.
  • 0:12 - 0:16
Generally, you will need to pay
    for some of your staff,
  • 0:16 - 0:22
    your location, technical equipment,
    catering, and communications.
  • 0:23 - 0:27
    You can earn revenue
    with ticket sales and sponsorships.
  • 0:27 - 0:29
So, take your time to plan,
  • 0:30 - 0:36
    update your budget frequently,
and ask fellow TEDx organizers to help you.
  • 0:37 - 0:40
Let's have a look at the costs first.
  • 0:40 - 0:42
    Good staff is key.
  • 0:42 - 0:46
The more positions you and your team
    can cover, the better.
  • 0:46 - 0:53
For other tasks, try to involve volunteers,
and convince partners to work for free.
  • 0:53 - 0:58
Also, speakers are not being paid.
    This is a TEDx rule.
  • 0:58 - 1:04
But, you will have to pay for travel costs,
    accomodation, and food expenses.
  • 1:06 - 1:09
    For the actual event,
you need to lent a good location.
  • 1:10 - 1:14
If it is your first TEDx event,
start with a small to mid-size location.
  • 1:14 - 1:18
Better to have a full audiotrium
    than empty seats.
  • 1:18 - 1:25
    Always include equipment rental, staff
and transport costs to your calculation.
  • 1:26 - 1:30
Keep in mind. Off locations involve
    higher expenses for transport.
  • 1:31 - 1:34
    Do you need
    any insurances and permits?
  • 1:34 - 1:38
    Also, think of
    cleaning costs after the event.
  • 1:38 - 1:42
    Always write a technical concept
    for your event.
  • 1:43 - 1:46
    You will need
    a live presentation system,
  • 1:46 - 1:52
    projectors, screens, microphones,
    sound, light and laptops.
  • 1:53 - 1:57
    For documentation purposes,
you should have video cameras set up,
  • 1:57 - 2:01
    also ask a photographer
    to take pictures.
  • 2:01 - 2:07
    Be aware: post production costs
    are often underestimated.
  • 2:07 - 2:12
If you want a live stream, make sure you have
a fast and reliable Internet connection.
  • 2:12 - 2:17
    Check which hardware is already
avilable and included at your location.
  • 2:17 - 2:20
    Do you have to rent
    additional equipment?
  • 2:21 - 2:26
In the breaks of your TEDx event,
it's good to provide food and beverages.
  • 2:26 - 2:28
    To calculate catering cost,
  • 2:28 - 2:34
multiply the number of expected guests
    with the cost per person.
  • 2:34 - 2:37
    Decide on the amount
    and quality of catering,
  • 2:37 - 2:42
    depending on time of day
    and duration of your event.
  • 2:42 - 2:50
To reduce costs, a proper buffet
can be replaced by light snacks, or finger food.
  • 2:52 - 2:55
    Sponsors can help you
    lower catering cost.
  • 2:59 - 3:05
To attract guests, you will have to design
    and produce a communications package.
  • 3:05 - 3:08
An invitation, printed or per email,
  • 3:08 - 3:15
    advertising material, a web site,
    badges, and a program booklet.
  • 3:16 - 3:20
    Also, a TEDx branding
    for stage and screens.
  • 3:20 - 3:24
It is always good to work
    with a professional designer.
  • 3:24 - 3:27
The results will look much better.
  • 3:28 - 3:33
    Calculate production, postal,
    and potential ad placement costs.
  • 3:35 - 3:39
    Your main source of revenue
    are ticket sales.
  • 3:39 - 3:46
Multiply the potential number of attendees,
not seats, with the envisioned ticket price.
  • 3:46 - 3:51
Ticket prices should be reasonably low
    to attract a broad audience.
  • 3:52 - 3:55
Keep in mind that you calculate
    a contingent of free tickets
  • 3:55 - 4:01
    for speakers, team, press,
    and sponsors.
  • 4:02 - 4:08
In the end, costs and revenues
    should, of course, be balanced.
  • 4:08 - 4:13
If not so yet, sponsors may
    give you additional financial support.
  • 4:14 - 4:16
    Prior to finalizing your budget,
  • 4:16 - 4:24
it is always good to talk to fellow organizers
    to exchange ideas and experiences.
  • 4:25 - 4:29
    Good luck with calculating
    your TEDx event.
